The UTS File Classification System is a tool used to build the titles of all UTS files to ensure consistency in file naming throughout the University. The File Classification System is designed to provide a structure based on function, as a starting point for developing a file title. It does not provide a list of all file titles held by UTS.

The File Classification System consists of:

  • a list of common keywords (broad functional headings) that are used across UTS to describe key functions and activities of the University. Some keywords are administrative terms, for example Human Resources, Industrial Relations, Government Relations, etc.
  • A list of common descriptors (narrower terms), which are listed under each keyword. They specify functional levels under the keywords and in some cases go to the third or fourth level.

    Some descriptors require the user to 'specify' something. The user may be prompted to enter specific types of information, such as a date, name, issue, etc.

    There are three generic descriptors that appear under every keyword. These are Administrative Arrangements, Policy, and Reviews.

  • Related terms for each keyword. See 'Other Related keywords and descriptors' under each keyword.

Once the appropriate keywords and descriptors are chosen, adding a free-text portion completes the file title.
