As part of the Records Management Program at UTS, University Records provides various levels of training for staff across the University.

Training for all staff

Records Management Awareness Sessions

University Records hold regular Records Management Awareness Sessions. Bi-monthly sessions are run at City campus, and one-off sessions are held at Kuring-gai as required. The Records Management Awareness Sessions are designed to:

  • inform all staff of the Records Management Program and their responsibilities to it
  • give staff an overview of legislative requirements
  • inform staff of the procedures for creating files, capturing documents, destroying files and archiving.

All staff are encouraged to attend a session soon after they commence at UTS. Sessions are advertised through Staff Notices and via email to Records Contacts within each faculty/unit. See under Upcoming sessions below.

Privacy Awareness Sessions

Privacy Awareness Sessions are run by the Governance Support Unit as part of the Privacy at UTS training program. These sessions are held on a quarterly basis and cover UTS and legislative frameworks relating to privacy and staff responsibilities.

All staff are encouraged to attend a session. Sessions are advertised through Staff Notices. See under Upcoming sessions below.

Training for records contacts

Records Contact training sessions

Specific training is provided to Record Contacts. This may be one-on-one or for small groups of Records Contacts. These sessions are held on a needs basis. Records Contact training is designed to:

  • detail the responsibilities of the Records Contacts within the area
  • detail the procedures required for creating files and registering them within the records database template
  • detail requirements for lodgment of vital records, file destruction, archiving, etc.

Training for Records Contacts is hands-on and should provide the Records Contact with the necessary tools to manage the Records Management System within their area.

Sessions must be organised for new Records Contacts as soon as possible. Refresher sessions can also be organised for current Records Contacts as required, or they can attend general Records Contact refresher training after the Records Awareness Sessions. See under Upcoming sessions below. To organise an individual or small group training session, contact your Records Advisor.

TRIM training

For areas using TRIM, specific training is provided by University Records for both the Records Contact and any other users of the system. To organise a training session, contact your Records Advisor.

Archiving and disposal workshops

University Records provides half-yearly training on archiving and disposal of records for Records Contacts. These are normally scheduled for July and December. See Upcoming sessions below.
